Pipeline

PreciseFP offers a unique pipeline for both your Client and Prospect Account Profiles. The purpose of the Pipeline is to allow you to move your clients and prospects through a customizable workflow automatically.

Overview

The Pipeline feature is accessible to the Administrator of your subscription by default, as changes to Pipeline affect all Accounts and Users on the subscription.

If you do not have access to edit Pipeline, your Administrator may make the necessary changes in Pipelines on your behalf or provide your User access to Pipelines in Settings > Permissions.

Please note, the Administrator will be able to edit all parts of Pipeline, whereas other Users with access to Pipelines will only be able to create and edit their own triggers/automations. Non-Administrator Users will not be able to edit Pipeline pieces created by another User.

The Pipeline feature is in Settings > Pipelines (under the Application header):

There are two separate Pipelines for your Client and Prospect profiles within the software. You can toggle between these using the dropdown in the upper right-hand corner of Pipelines:

Pipeline Logic – How does it work?

When created, a Client or Prospect Account in PreciseFP will be assigned to Stage #1 of their respective Pipeline.

PreciseFP can complete an automated action based on one of the triggers within its current stage. This is referred to in PreciseFP as a ‘workflow’.

Multiple workflows cannot be triggered by the same action, but multiple workflows can trigger within the same Pipeline stage as a sort of 'branch':

Pre-Built Pipelines (Clients / Prospects)

The default pipelines were built to mimic the standard workflow followed by most financial advisors. However, Pipelines are intended to be customized based on the needs of your practice. PreciseFP Support can be contacted by your Administrator to revert Pipelines to defaults, if needed.

The pre-built Prospect Pipeline features three stages: Onboard, Acquire, and Re-engage.

The suggested flow here is to begin when the prospect completes an ‘Onboarding Questionnaire’. Once completed, they are placed in the Acquire stage for a PreciseFP User to review their engagement and send them a Service Agreement to fill out and eSign. If this is completed, the Prospect is then automatically converted to a Client and placed in Step 1 of the Client Pipeline.

Also in the Onboard and Acquire stages for Prospects is a trigger to send the Account into the Re-Engage stage if they take no action for 30 days:

The pre-built Client Pipeline features six stages: Onboard, Discover, Plan, Invest, Re-engage, and Survey.

The suggested flow here is to begin with a Risk Tolerance Questionnaire, move into the Discovery stage to do more fact-finding, send data to your integration partners, complete an Investment Policy Statement, and then check in on the client by engaging them with a Satisfaction Survey once they’ve completed their most recent form engagement.

Built into every stage except the Discover stage is a trigger to move the client along in the Pipeline if they take no action for 90 days:

Customizing Pipelines

To add a stage to your Pipeline, click the ‘+’ in the upper right-hand corner:

You will be required to add a Title and Description before clicking ‘Create’. You can also add an optional icon to work as a visual aid for the stage.

To edit or delete an existing workflow tile, hover over it and click either the pencil or trash can icon:

To add a workflow tile to a stage, you can click the ‘+’ icon. Click the pencil icon to edit the Title, Icon, and Description of the stage, or click the trash can icon to delete the Pipeline stage entirely. Please note, this deletion is permanent and cannot be undone.

Each workflow tile must have a ‘When’, the trigger of the flow, as well as a ‘Do’. The ‘Do’ tells the Pipeline which action to take.

You have the following options for ‘When’:

Workflow tiles may also have an ‘If’ function:

These operate as filters for the ‘Do’, and may include using a piece of Account Profile data as a validation or requiring a certain Data Quality score.

Additional Pipeline Uses and Tips

See an overview of all Client and Prospect Pipelines on your Dashboard upon initial login or by clicking the PreciseFP logo icon in the upper left-hand corner of PreciseFP.

In Accounts > Clients or Accounts > Prospects, you can view Pipeline Stages in the right-most column. You can also click the ‘Show only’ dropdown in the upper right-hand corner to sort results by a certain Pipeline stage:

Check the box next to either certain Clients or certain Prospects to move these Accounts to another stage or engage them in bulk:

Click on one Account line to open the Account Details panel and view/change the current Pipeline stage:
