Overview
PDF Templates can pre-fill with information from the PreciseFP profile and be sent to the client/prospect for eSignature only. PDFs are not used to gather data from the recipient.
You can install PDF templates from the library and/or create your own in the My Templates section. They are perfect for custodial forms, agreements, and policies.
Custodial PDFs
To access the PDF Mapper for your PDF template navigate to Templates > My Templates (under PDF Templates) > Click on your PDF Template. For custodial PDFs you'll see the Map button on the Template Details panel. Click on this to open the mapper.
The mapping is already done for you on the custodial PDF templates, but going into the mapper will allow you to input your firm data as a default value into fields like your Advisor Number, Master Account Number, etc.
Click on any fillable field. You'll then be able to set a default value, or you can even click on the macro dropdown and use an available macro to prefill in data here.
PreciseFP does not suggest custom mapping beyond these default values and Macros for custodial PDFs.
Custom PDFs
If you have uploaded a PDF File to create a Custom PDF Template, you can click on the template in My Templates, then click the green 'Customize' button:
When uploaded, your PDF Template may have come across with already fillable/mappable fields:
To navigate between pages of the PDF, click on any page along the right-hand side:
Click on the + in the upper right hand corner to add more fields to the PDF template.
The various fields that you can add to your PDF template:
Input Fields will pre-fill from the PreciseFP profile. E-Signature Fields will request eSignature/Initials, then stamp Signer Name or Signer Date accordingly.
Please Note: The Document Upload field in the PDF Template is not for the recipient. Rather, this is intended for the PreciseFP User to attach a file that may need to be included in the PDF Engagement if sent to a custodian for processing.
Fields must be placed one at a time, though you can add as many fields are needed in order to pre-fill the PDF.
Once placed, you can drag and drop your field to its proper location on the PDF.
Pre-fillable fields will appear as blue, whereas fields related to eSignature will be yellow in Preview:
Above: PDF Text Field will Pre-fill with Client Name
Above: PDF eSignature Field will gather Client's eSignature
Field Group and Name
When mapping a field on a custom PDF Template, you will be asked for a Field Group and Name:
Above: Group, Select, or Document may show as the default Field Group before you assign one
Field Group is the 'Person' whose information will pre-fill in those places. If you want Client's Full Name to pre-fill, you would click on 'Group', then click 'New group':
Create a group of 'Client', then add a Field Name to the right of your group. Where the Field Group is the Person, your Field Name is context for picking this field out of a list:
A field for the CoClient's full name would have a Field Group of CoClient, but still a Field Name of FullName, just like the Client's mapping. Other common Field Groups are Advisor, TrustedContact, Beneficiary1, Beneficiary2, etc, though you can make them what you'd like.
Once you start adding Field logic to your PDF template. you'll be able to see what the field structures of all fields are within the PDF template by clicking on the 'Field Structure' button from the top navigation:
If your Field Groups and Names are blank/incorrect, no data will pre-fill the PDF Template.
Connections
After your Field Group and Name, you will be asked to select a Connection. This is where in the PreciseFP Profile (Dataset) the information will be pulled:
Information classified as 'Person' is the only data that can pre-fill PDF Engagements
If you have the Connection set to 'None', no data will pre-fill the PDF Template.
Updating PDF Template File
To update the PDF document details, click the “Details” button located on the top-right corner of the screen.
The PDF details panel allows you to update the PDF template's Thumbnail, Title, Description, Category, Status, Provider type and Font Size.
(Thumbnail and Description are internal-only--not seen by the recipient)
When a mapped PDF is updated, you may need to change/replace it without losing all the work you already have done. To replace your PDF click on the PDF icon.
Select your new PDF to upload:
If you would like to keep the fields on your existing PDF Template, set 'Replace current field structure to 'No':
'Yes' will allow potential overwrite of existing fields
Click upload once you have made your selection.
Click on the Preview Button to see a preview of your PDF template.
Please note that any Field Logic that you've created will not show up in the preview, nor with eSignatures. They will simply be shown by a blue/yellow box.
Pro Tip: While you are mapping, engage yourself as a test Account Profile within PreciseFP to ensure your PDF Template pre-fills with data how you would like it to.
