Advanced PDF Mapping

Map PDF engagements for multiple people, map checkboxes, and fields with the same value

This article references information from the following:

Mapping Multiple Field Groups to 'Persons'

When mapping a custom PDF, you can create multiple Field Groups in order to pre-fill the PDF with information from multiple 'Persons' in the PreciseFP Account Profile (Dataset).

When you engage a client/prospect with a PDF, your Field Groups become dropdowns that tell the PDF whose information to fill in where.

Above: Field Groups of Client and CoClient from PDF Template listing 'Persons' from the engaged Account Profile.

'Persons' in PreciseFP - Not just People

  • To PreciseFP, any data on an Individual page of the Dataset is classified as 'Person' data, as it either belongs to the Client or the CoClient only.

  • In the pre-built Dataset, the groups Children and Other Family Members on the Family Members page are also classified as 'Persons'

  • Any Add More enabled group on a Household page of the Dataset can be considered a 'Person' group by having one element in the group with a Classification of Name, FullName, FirstName, or LastName

    • For example, the pre-built 401k group in the Dataset can be considered a 'Person' by adding 'Name' as the Classification on the Name Element:

The 'Person' part of the Classification is set by this being an Add More group on a Household page of the Dataset.

On our template, we can create a Field Group of 'Account' and a Field Name of '401kName' and connect our PDF field to the Name element here from the 401k group of the dataset.

(If you are going to create multiple Persons this way, consider titling your elements more detailed than just 'Name', like the Connection above shows)

When we engage someone with a PDF, we will now see the names of the 401k accounts from their PreciseFP Account Profile as 'Persons' whose information can pre-fill the PDF:

Mapping Multiple Option Elements / Checkboxes

Multiple Option Elements have an Advanced Editor, where you can edit the 'value' of each selection available to the client/prospect. This 'value' can differ from the 'label' of each option, which is what the recipient sees.

In the Dataset, use the Advanced Editor to note your Multiple Option values:

Values are case-sensitive. PreciseFP recommends copy/pasting the value from this list when possible to ensure it matches exactly.

Add a field to your PDF and select 'Checkbox' from the Input Fields menu, then select your Field Group and assign a Field Name. For this example, I am using a Client Field Group and a Field Name of 'Agreement'. (Adding your 'check only when connection value is' value will automatically add to the Field Name)

Select your Multiple Option Element in the Connection dropdown. If you see duplicate fields listed, use the field ending in '_value'.

Select your operator and enter your value for your selection. In this instance, my value to check this box is 'Collaborate' and I only have two options, so I used the '==' operator for 'equals'.

If your values are numbers rather than text, you might use another operator to check a box if the value is between a certain range of numbers, for example.

Once mapped, PreciseFP recommends testing your newly mapped field. Engage yourself as a test Account Profile with a selection made for the Multiple Option element in mind and ensure the correct box is checked on your test.

Mapping the next value will be very similar, just using a different value:

Mapping Multiple PDF Fields to pre-fill with the same value

In the case of an Account Number, for example, it might be helpful to set multiple fields on a PDF to pre-fill with the same exact value. Field Names for the same Field Group cannot repeat, so we need to Name them specifically.

My first field has a Field Name of Num (for account number) and it is my first field I want to pre-fill with this value, so I put __1 after the field name to indicate this:

Note this must be two underscores followed by the number

My second Account Number field:

And my third:

I also mapped Account Name above these fields. Here is how it all looks in an engagement:
